This Privacy Statement is issued by the Palazzo Di P Villa (referred to as “Palazzo”, “we”, “us” or “our” in this Privacy Statement) and covers information collected and used by us in the course of our business.

About Palazzo

We are a vacation rental business based in Greece independently owned and operated by us. If you make a reservation through us to stay at Palazzo your information will be governed by our own privacy practices and is only covered in this Privacy Statement where specifically noted.

Information we collect and how we use and share it

We collect and use personal information if you make a booking through our reservation system. We generally collect this information directly from you, but in some cases we may collect your information from other sources such as booking.com, TripAdvisor and other similar holiday/vacation platforms. For example, we occasionally run promotions where we ask loyal Members to refer a friend to Palazzo loyalty Club. In these cases we always ask members to make sure anyone they refer is happy for their personal information to be passed to us, and to direct friends to read this privacy policy if they want to find out more about how we use their information. We also collect information through our third party service providers' use of technologies such as pixels, web beacons, tracking tools and similar technologies.

You do not have to provide us with your information although in some cases, if you do not, it may mean that you are unable to use our services. For example, we may be unable to complete any booking you may wish to make, or you may be unable to participate in our loyalty programmes.

If you make a reservation at Palazzo

Information we collect: We collect information from you when you make a booking through our reservation system. Information collected during the course of the reservation and during your stay may include:

  • • Your name, ages, email address, home and business address, phone number, nationality and payment card information, flight details,
  • • Information relating to your membership in one of our services or programmes
  • • Information such as stay and preferences made during the course of your reservation such as your preferred housekeeping service or other specific requests to the Villa.

This information may be provided to us directly when you make a reservation through our reservation system or from a third-party, such as when you book through an online travel agency or holiday platforms such as booking.com, TripAdvisor etc.

How we use this information: We use the information collected from you primarily to fulfil your Villa reservation. Prior to your stay this may include processing your information and sending you pre-stay communications. Following your stay, we may also send you post-stay communications and satisfaction surveys to get feedback on your experience.

In some instances where we have your consent or where permitted under applicable law, we may send you marketing communications (which may include text messages or emails) for services that we believe would be relevant for you. Additionally, we use this information for purposes of aggregated trend and statistical analysis to evaluate and improve our services, plan new Villa services and other market research.

Who we share your information with: We do not share your information with the exception of third-party service providers and only if there will be a request for a service placed by you (car rental, yacht/boat rental, private chef services, wedding planner, catering etc).

We may also share your stay information with other third parties (i.e. security servicers, health/medical servicers) in circumstances such as:

  • • when we believe in good faith that the disclosure is required by law or to protect the safety of Villa guests, employees, the public or property;
  • • when disclosure is required to comply with a judicial proceeding, court order, subpoena, warrant or legal process; or
  • • when disclosure is required to comply with health and safety requirements (i.e. COVID protocols)
  • • in the event of a merger, asset sale, or other related transaction.

Although provision of much of the information requested is voluntary, the failure to provide certain information may impact and/or prevent our ability to offer you certain services.

We also collect information from you when you browse our website, or our social media profiles. In these instances, information such as your country information, internet protocol (“IP”) address, media access control address and other characteristics about your system or device may be automatically collected. This information is collected for functional purposes as well as to improve your experience when using these services. This information may also be used for aggregated trend and statistical analysis, and for showing you more relevant advertisements and messages.

The legal basis for processing your personal data: We are committed to collecting and using your information in accordance with applicable data protection laws.

We will only collect, use and share your information where we are satisfied that we have an appropriate legal basis to do this. This may be because:

  • • you have provided your consent to us using the personal information;
  • • our use of your information is necessary to perform our contract with you, for example, making and managing your booking and operating and providing services in accordance with the terms of our agreement with you;

You may always choose what personal information you wish to provide to us. However our services may be affected if you choose not to provide certain details, for example, we cannot reply to you without your contact details.

If you provide us with your contact details (e.g. email address, telephone number), we may contact you to let you know about the services and promotions offered that we think are related to your profile. Your rights include (and not limited to) :

You have the right to object to our processing of your personal data based on our legitimate interests, meaning we may not process your personal data any longer unless we can demonstrate compelling legitimate grounds for the processing which override your interests. You also have the right to move your personal data from us to another data controller.

Data transfer

As we operate independently we do not transfer your information to any third party, without your prior written consent and only for the purpose of other services requested by you (car rental, yacht/boat rental, private chef, wedding planner etc). Your personal data will never be made available to third parties for advertising or other purposes.

We and our third-party service providers may use cookies, pixels, web beacons, tracking tools and other similar technologies on our website to collect information and provide you with the services that you have requested or participate in and to provide targeted advertising. Use of WI-FI services

When you use the Palazzo Indoors and Palazzo Pool WI-FI service we do not collect or process any information such as web pages, apps or sites that you visit. While generally this information is pseudonymous and/or aggregated, this information is not collected and the same applies for contents of email communications or other electronic communications you send or receive when using Palazzo WIFI. The collection, transmission and storage of information can never be guaranteed to be completely secure, however, we take steps to ensure that appropriate security safeguards are in place to protect your information (wifi passwords are regularly changed).

Managing your preferences and information

We want to ensure that you have the necessary tools at your disposal to control the information that you provide to us, including how we communicate with you. It is also important that you contact us to update your information if any of it is inaccurate or changes.

Our Service may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

Children’s Privacy

Our Service does not address anyone under the age of 18 (“Children”). We do not knowingly collect personally identifiable information from anyone under the age of 18. If you are a parent or guardian and you are aware that your Children has provided us with Personal Data, please contact us. If we become aware that we have collected Personal Data from children without verification of parental consent, we take steps to remove that information from our servers. Information is only limited to the name and age of each child staying at Palazzo according to local legal requirements and are not processed or shared with any third party apart from government authorities if requested.

In some instances, we may have to change, modify or amend this Privacy Statement in order to comply with the evolving regulatory environment or the needs of our business. Subject to any applicable legal requirements to provide additional notice, any changes to this Privacy Statement will be communicated through our website and mobile applications.
